Your business data lives in pieces. Email, shared drives, staff phones, accounting apps and text threads each hold part of one customer, so the first step is to list those places and check who can still reach them.

Follow one customer through your business

Think about one customer. Their name is in your email. Their quote is in a shared drive. Their phone number is on a staff phone. Their invoice is in an accounting app. Their photos are in a text thread.

Each tool holds a piece. No one place holds the whole picture.

That is normal. It is also why a simple question, such as "what did we quote this customer last spring?", can take a search through four apps.

AI is already inside the tools you use

In an NFIB survey published June 25, 2025, 44% of small business owners said AI is now included in products they have been using.

You may be using AI without ever having chosen it. That also means your data may pass through services you did not pick.

List the five places your customer data lives

Circle any place where someone who left still has access

Now go back over your list. Circle any place where a former employee, contractor or old vendor can still sign in. Do not skip this step. Owners are often surprised by what they find.

  1. Open the admin or sharing screen of each place on your list.

  2. Write down every person or app that can see it.

  3. Mark each one who no longer works with you.

  4. Remove that access, or hand the list to whoever can.

Our view: your data is an asset you already own. It sits in too many places to use well. Bring it under your control first, then put AI to work on it.
